This page describes how QR tags are activated within the ASL platform and how they are associated with assets. Activation is required before a tag can be used to access or log maintenance information.
Overview
Each QR tag contains a unique identifier (TAGID) that becomes linked to an asset during activation.
Activation is performed inside the ASL platform by a verified company and determines which trade category the tag belongs to.
Only authorised company administrators or users with activation permissions may activate tags.
Accessing the Activation Page
Tags are activated directly from the ASL platform interface.
The activation view displays:
- TAGID
- Tag format
- Trade category
- Reference field
- Activation button
This interface connects the physical QR tag to its digital asset profile.
Selecting Trade Category
If a company has multiple approved trade categories, the user must select the correct one from the drop-down list.
If the company is approved for only one trade category, the system will automatically preselect it.
The trade category determines which type of maintenance activities may be associated with the asset linked to the tag.
Reference Field
The Reference field is used to identify the asset associated with the tag.
This value is chosen by the company and can be any descriptive text.
Common examples include:
- “Heat Pump – Basement Level 1”
- “Fan Coil Unit FCU-12”
- “Lift 3 – Stairwell A”
- “AHU-05 – West Wing”
- “Pump P2 – Fire System”
The reference helps technicians and owners recognise the asset when scanning the tag.
Scanning a QR Tag
A QR tag may be scanned in two ways:
Native Camera
If the mobile device supports QR scanning through its built-in camera app, users may scan the tag directly.
This will open the asset view in the browser.
Built-in Scanner in the ASL Platform
ASL also provides an integrated QR reader within the platform.
This option is recommended when native scanning is not available or when working inside the ASL environment.
Both methods provide identical access to the asset’s digital record.
Activating the Tag
To complete activation:
- Ensure the correct trade category is selected.
- Enter a clear and meaningful reference for the asset.
- Click Activate.
Once activated:
- The tag becomes permanently linked to the asset reference.
- The asset is ready for maintenance logging.
- Technicians authorised under the selected trade category may begin recording service actions.
Activation cannot be undone; if a mistake is made, the tag must be replaced or reassigned according to company procedures.
Placement
QR tags should be placed in a consistent and clearly accessible position on the asset to ensure reliable scanning during inspections and maintenance work.
For most technical installations, the recommended standard placement is:
- On the front-facing service panel,
- Near the primary access point used by technicians,
- At a height that allows scanning without obstruction (typically 1.2–1.8 m from the floor).
Tags must not be placed on removable covers that are frequently replaced, nor on surfaces exposed to excessive heat, vibration or moisture unless required for the specific asset type.
