First Maintenance Log

This page describes how to create the initial service record for an asset after a QR tag has been activated.
The first maintenance log establishes the baseline documentation for the asset and may represent an installation, a repair, or a maintenance action depending on the selected record type.

Record Types

When adding a service record, the platform displays different input fields depending on the selected Type and the asset’s trade category.
Typical record types include:

  • Installation – used when the asset is newly installed or commissioned
  • Repair – used for corrective work following a fault or issue
  • Maintenance – used for routine or scheduled service actions

Selecting a record type will automatically adjust the form to display only fields relevant to that activity.

Completing the First Log

To create the first maintenance record:

  1. Select the appropriate Type (Installation, Repair, or Maintenance).
  2. Enter the required information as displayed by the system.
    Examples may include:
    • Installed component or part
    • Manufacturer or model
    • Status of the installation
    • Description of work performed
    • Observations or identified issues
  3. Review the entered information for accuracy.
  4. Submit the record by selecting Add Record.

Once saved, the entry becomes part of the asset’s permanent service history.

Trade Category Specific Fields

Different trade categories may introduce fields tailored to the type of work being logged.
For example:

  • Plumbing assets may require component or installation status details
  • Electrical installations may require model identification or commissioning notes
  • HVAC and lift installations may require additional operational parameters

The platform automatically displays these category-specific fields as needed.

If Incorrect Information Was Submitted

If an error was entered into the first maintenance log such as incorrect component details, wrong record type, or accidental omissions, it can be corrected.
