Surface Preparation
Before applying the tag, the mounting surface must be properly prepared to ensure optimal adhesion.
Follow these steps:
- Clean the surface thoroughly
Remove dust, oil, grease, moisture and any surface residues.
Use an alcohol-based cleaner or mild detergent, then allow the surface to dry completely. - Ensure the surface is smooth and stable
Avoid heavily textured or uneven areas that may reduce adhesion. - Temperature conditions
Apply the tag only when the surface and ambient temperature are within a moderate range (generally above 10°C).
Cold or excessively warm surfaces reduce adhesive performance. - Avoid stretching the material
When positioning the tag, do not stretch or pull the vinyl; it must rest in its natural shape. - Apply firm, even pressure
Press across the entire surface of the tag to activate the adhesive.
Use a soft cloth or plastic applicator to remove air pockets. - Do not expose to stress immediately
Allow the adhesive to bond for several hours before exposing the tag to cleaning, moisture or operational vibrations.
These steps follow established guidelines for cast vinyl with laminate, ensuring maximum longevity and adhesion.
General Placement Principles
Across all trade categories, tags should be placed:
- On a fixed, non-removable part of the asset
- In a position with consistent visibility for technicians
- Out of reach of casual tampering or theft
- Where scanning is possible without climbing, crawling or removing covers
- Away from heat sources, moving components and fluid contact points
The tag must not be placed on removable service panels, temporary covers or parts subject to replacement.
Recommended Placement by Trade Category
Different types of installations have different operational realities.
Below are recommended standard mounting locations to ensure accessibility and protection.
Plumbing (VVS)
Recommended placement:
- On the main housing or fixed chassis of the installation (e.g., pump body, manifold frame, valve group frame).
- Near the primary shut-off valves or control section, but not on removable insulation or pipework.
- Avoid warm or moist zones directly above boilers or within condensation areas.
Rationale:
Plumbing environments often include moisture, heat and insulation. A fixed, dry metal surface provides optimal adhesion and scanning.
Electrical
Recommended placement:
- On the fixed enclosure of the distribution board, control cabinet or equipment housing.
- Place near the main identification label, but not on the door if the door is often removed.
- Avoid cable covers, fuse doors or any panel requiring routine opening.
Rationale:
Electrical gear frequently has removable fronts. Mounting on a stable, fixed part ensures longevity and consistent visibility.
HVAC (Ventilation / Climate Systems)
Recommended placement:
- On the main frame or casing of the unit (AHU, FCU, heat pump, fan unit).
- Near the service side where filters or components are accessed, but not directly on panels frequently removed during maintenance.
- Keep away from airflow outlets, condensate drains and vibration-prone areas.
Rationale:
HVAC systems create airflow, vibration and moisture. A stable casing surface protects the tag from environmental stress.
Lift / Elevator Systems
Recommended placement:
- Inside the machine room or service-access enclosure, mounted on the main machinery housing or controller cabinet.
- Must remain accessible to certified lift technicians but hidden from public areas.
- Do not place inside lift shafts or on moving equipment.
Rationale:
Lift systems require controlled access and high safety compliance. Placement inside authorised service areas reduces tampering and increases security.
Environmental Considerations
To ensure long-term readability:
- Keep the tag away from chemicals, oils and frequent cleaning zones.
- Avoid prolonged exposure to direct heat sources or mechanical abrasion.
- For outdoor assets, choose a sheltered area when possible.
After Mounting
Once applied:
- Confirm the QR code is fully readable from multiple angles.
- Re-scan the tag to verify proper redirection to the asset record.
- Instruct the site or property owner to avoid placing objects or insulation over the tag.
