Replacing Tags

This page explains how QR tags can be replaced when they become damaged, unreadable or when their expected service lifetime approaches its end. ASL supports two distinct replacement processes, depending on whether the original tag must be preserved or renewed.

Replacing a Damaged Tag (Using a Replacement Tag)

If a tag becomes physically damaged, worn or unreadable, it may be replaced using a Replacement Tag.

Replacement Tags:

• Are special-purpose tags designed exclusively for one-to-one replacement
• Do not generate a new asset record
• Do not extend the asset’s lifetime
• Maintain all existing service records and history without modification

A Replacement Tag carries a link that points to the same asset as the original tag.

These tags can be ordered through the ASL web shop and should be used only when a tag is lost, vandalised or physically deteriorated before the end of its intended lifetime.

The replacement should be mounted following the standard mounting guidelines.

Replacing a Tag at the End of Its Lifetime (Renewal)

When a tag reaches the end of its intended lifetime, or when the organisation decides to renew it proactively, it may be replaced with a new standard ASL tag.

In this scenario:

• A brand-new tag is activated for the asset
• The asset’s operational lifetime is renewed for an additional period (up to ten years)
• All existing records are retained and remain linked to the installation

This renewal process ensures that the asset continues to have a stable and readable identifier for ongoing maintenance documentation.

When Replacements Can Be Performed

Tags may be replaced at any point during the lifetime of the original tag.
Common reasons include:

• Physical damage
• Wear from environmental exposure
• Reduced readability due to fading or surface degradation
• Proactive renewal near the end of the tag’s expected lifespan

In all cases, replacing the tag does not affect existing data or service history.
