Asset
An asset is any technical installation, unit or system that is assigned a QR tag and tracked within ASL. Examples include heating systems, ventilation units, pumps, lifts or other service-dependent equipment.
Each asset has a digital profile containing identification data, location information and its full maintenance history.
QR Tag
A physical tag containing a unique identifier linked to a specific asset. When scanned with a smartphone, the tag directs the user to the asset’s digital record.
QR tags form the primary access point to the ASL documentation environment and enable on-site retrieval of real-time information.
Organisation
An organisation represents a company, service provider or property owner using the ASL platform. It serves as a container for users, roles and assets associated with that entity.
Organisations manage technician verification, permission structures and assignment of responsibilities.
User Roles
Roles define the level of access a user has within the platform. Common roles include:
Public Viewer
A non-authenticated user who accesses an asset by scanning a QR tag. May view only limited, non-sensitive information.
Verified Technician
A user verified by an organisation to create, edit or append service records. Technicians interact directly with assets in the field.
Asset Owner or Manager
A user responsible for overseeing asset portfolios, viewing full histories and managing permissions or organisational settings.
Service Record
A service record is a timestamped entry documenting maintenance actions performed on an asset.
Records may include:
- Work description
- Technician details
- Additional notes or follow-up requirements
All service records are permanently linked to the asset and remain accessible across ownership or contractor changes.
Permissions
ASL uses role-based access control to determine what information each user may view or modify.
Permissions ensure that sensitive data is accessible only to authorised parties while allowing transparent, asset-centred documentation.
Asset History
The complete, chronological sequence of service records, inspections, corrections and comments associated with an asset.
The asset history provides traceability and supports audits, compliance checks and lifecycle management.
Data Ownership
In ASL, data is linked to the asset itself rather than the service provider.
This ensures continuity of historical information and allows multiple organisations to contribute to the same asset record over time.
API
The ASL API enables external systems to integrate with the platform.
It allows retrieval, creation and synchronisation of asset data, service records and organisational information.
Typical integration use cases include CMMS platforms, facility systems and automated reporting environments.
